Project Manager — Commercial HVAC

Location: St. Paul, MN (On-site, Full-Time)

Air Conditioning Associates, located in St. Paul, MN, has proudly served the Twin Cities metropolitan area since 1974. We are a union commercial mechanical HVAC contractor with an excellent industry reputation and long-standing customer relationships. We are licensed for warm air, ventilation, gas piping, refrigeration, hot water, and steam systems, and we specialize in commercial, retail, kitchen mechanical, and design-build projects ranging from $5,000 to $500,000.

We operate an in-house sheet metal shop, a full service department, and a strong administrative support team.

About the Role

The Project Manager serves as the primary contact for contractors and non-service customers and is responsible for selling and managing projects from initial walkthrough through close-out.

This is a hands-on role that includes estimating, project coordination, customer communication, scheduling manpower, and financial oversight throughout the project lifecycle.

Key Responsibilities

Sales, Estimating & Job Setup

  • Call on contractors and attend walkthroughs
  • Gather bids and prepare project estimates using company labor and cost standards
  • Sell projects and prepare contracts and supporting documentation
  • Create job drawings and submit permit applications
  • Order equipment, materials, hoists, lifts, and supplies
  • Coordinate with the shop and field manpower on project needs

Project Management & Execution

  • Schedule manpower and subcontractors
  • Conduct regular jobsite visits and deliver materials when needed
  • Communicate inspection needs and project updates to the office
  • Track project progress through completion
  • Prepare O&M manuals and project close-out documents
  • Provide project details to service sales for maintenance contract opportunities

Financial & Administrative

  • Prepare monthly billings or end-of-project invoicing
  • Approve accounts payable items
  • Review monthly job variances
  • Assist with collections as needed
  • Attend weekly construction and planning meetings

Expectations

  • In-office daily and actively engaged in team communication
  • Maintain frequent communication with customers, office staff, and field manpower
  • Professional casual business dress required
  • Must sign a non-compete agreement during employment

About You

You have experience in HVAC project management and/or sales and have worked in a small company environment. You understand mechanical systems and have the ability to read drawings, interpret mechanical code, and support design-build projects.

You are a strong communicator, calm under pressure, and able to manage multiple priorities while maintaining professionalism and integrity.

You bring:

  • Experience in HVAC project management or commercial construction
  • Working knowledge of heating and cooling systems (basic service knowledge a plus)
  • Ability to read plans and interpret mechanical code
  • Strong organizational and time-management skills
  • Proficiency with Microsoft Office and basic computer applications
